Refund & cancellation policy

This policy applies to professional engagements with Forestcore Energy Ledger Co., Ltd., including facility energy audits, sustainability reporting cycles, multi-site comparisons, and monthly ledger reviews. The site does not sell physical goods or process online checkout.

1. Eligibility

Refunds are considered when we cancel an engagement we cannot fulfill, when a deposit covers work that never started at our request, or when a written estimate explicitly promises a refund condition that is met. Fees for completed deliverables are non-refundable.

2. Timeframe to request

Refund requests must be emailed to hello@panel-forestcore.click within 14 days of the event giving rise to the request (for example, our cancellation notice or a missed kickoff we caused).

3. Full and partial refunds

Full refund of amounts paid may apply if we cancel before any kickoff work begins and no replacement date is mutually agreed.

Partial refund may apply if an engagement is stopped mid-stream by mutual written agreement. We invoice for work completed (scoping, travel booked, analysis hours) and refund the unused balance of prepaid fees.

4. Non-refundable items

• Completed audit reports, comparison briefings, and reporting packs already delivered
• Third-party travel tickets or lodging purchased with your written approval
• Monthly retainer fees for months already reviewed
• Administrative time after you withdraw without the notice periods below

5. Deposits

On-site audits typically require a 30% deposit. The deposit is credited to the final invoice. If you cancel with at least 7 days’ notice before the scheduled walkthrough, the deposit is refundable minus any non-recoverable travel costs already approved. Cancellations inside 7 days forfeit the deposit unless we fill the day with another booked site.

6. Cancellation and rescheduling

You may reschedule an on-site visit once at no charge with 5 or more business days’ notice. Later reschedules may incur a rescheduling fee of up to 10% of the engagement fee to cover analyst reallocation. Desk-based work may be paused by mutual agreement; prepaid amounts remain as credit for 90 days.

7. No-shows

If escorts or access are unavailable at the agreed time without 24 hours’ notice, the visit may be treated as delivered for scheduling purposes and rebooked at additional cost.

8. Work already started

Once bill analysis, modeling, or drafting has begun, fees reflect hours completed. Materials we create remain our working files until final delivery and payment.

9. Refund method and processing time

Approved refunds are returned via the original bank transfer method within 14 business days after approval. We do not issue cash refunds at the office.

11. Exceptions

Statutory rights under Vietnamese consumer and commercial law remain unaffected where they mandatorily apply. Engagement letters may set stricter notice rules for multi-site programs; the letter controls if it conflicts with this page on timing only.
